Registration Information

Thank you for your interest regarding the Australasian Road Safety Research, Policing and Education Conference. We have relocated onsite to prepare for the Conference.

The Registration Desk will be located on Level 1 of the Crown Promenade Hotel Melbourne and will be operating at the following times:

Wednesday 17th October: 7.30am - 5.00pm
Thursday 18th October: 8.30am - 4.30pm
Friday 19th October: 8.30am - 2.00pm

Student Delegate Entitlements
Full time students are eligible for a discounted Conference registration.
Student delegate entitlements are as per those listed under Full registration above.

Day Conference Delegate Entitlements
The day registration fee entitles delegates to the following:
•  Access to all conference sessions on chosen day of the conference (Wednesday or Thursday)
•  Conference documentation
•  Morning, afternoon teas and lunch on chosen day of the conference
•  Access to the trade exhibition
•  Conference Satchel

Entrance to Conference
Each member of the conference will receive a name badge on registration. The badge will be your official pass and must be worn to obtain entry to all sessions and to social functions.

Students
To receive discounted Registrations, full time students will be required to provide a student number from a recognised Australian or international educational institution. Without this, or without providing student identification upon request the full registration fee will be charged.

PAYMENT OF FEES
NOTE: Registrations will not be processed or confirmed until payment in full is received.

Within Australia
Payment may be made by cheque or credit card. MasterCard and Visa are the only credit cards accepted at the conference. Please note all transactions by credit card will appear on your statement as payment to Conference by The Meeting Planners. Cheques should be made payable to Road Safety 2007.

International
Payments from overseas must be made by credit card or bank cheque in Australian Dollars only, drawn on an Australian Bank. Your name and full address should be typed or printed clearly on the back of the cheque. Fees will not be accepted by direct transfer.

Cancellation & Refund Policy
Cancellations must be notified in writing to the Conference Managers.

Registration Fees:
Before 31st August 2007 will incur an A$100.00 cancellation fee.
Before Monday 11th September 2007 will receive a 50% refund of fees paid
After Monday 11th September 2007 there will be no refund.

PRIVATE FUNCTIONS
It is requested that you advise the Conference Managers of any private /corporate functions that might be planned outside of the official program. The Conference Managers would be pleased to assist with arrangements for any of these events.

PRIVATE TOURING/HOSPITALITY ARRANGEMENTS
Should you have any specialised group requirements for private touring, transportation or hospitality services other than those organised for the official program, please contact the Conference Manager who would be pleased to assist with arrangements.

INTERNATIONAL DELEGATE VISA INFORMATION

Quarantine
Australia is free from many plant and animal diseases prevalent in other countries. Very strict quarantine rules apply to the import of animals and plants, which cannot be brought into the country without prior application. Animal and plant products are also restricted.

Visa Information
Please note that all travellers to Australia must have a valid visa before boarding their plane. Travellers to Australia cannot apply for a visa on arrival, with the exception of New Zealand passport holders, who will be visaed on arrival in Australia .

All international event participants, (other than New Zealander passport holders) should review the following information carefully. There are currently two possible visa options for adult event participants and the appropriate visa to apply for will depend on their country of passport.

IMPORTANT: It is the policy of the Conference office NOT to supply an invitation letter to unpaid or unregistered delegates as it is NOT required and does NOT assist in the visa application process. Upon payment of registration, the delegate will receive a confirmation letter of acceptance of registration and receipt of payment. For NON ETA visa applicants, a list of ALL paid registered delegates will be forwarded to the Department of Immigration and Multicultural and Indigenous Affairs (DIMIA) to assist visa applications.

ACKNOWLEDGMENTS
Your registration and payment will be acknowledged via email or post with confirmation of your requirements according to your registration form. Your registration will not be processed or confirmed if payment does not accompany your form.

You will not receive any further publications before the conference. Your letter of acknowledgment will include any further advice necessary prior to your arrival at the conference.

INSURANCE
Registration fees do not include insurance of any kind. It is strongly recommended that at the time you register for the conference and book your travel you take out an insurance policy of your choice. The policy should include loss of fees/deposit through cancellation of your participation in the conference, or through cancellation of the conference, loss of international/domestic air fares through cancellation for any reason, loss of tour monies through cancellation for any reason including airline or related services strikes within Australia, failure to utilise tours or pre booked arrangements due to airline delay, Force Majeure or any other reason, medical expenses (including sickness and accident cover), loss or damage to personal property, additional expenses and repatriation should travel arrangements have to be altered. The conference managers cannot take any responsibility for any participant failing to arrange their own insurance. This insurance is to be purchased in your country of origin.

PRIVACY
Australia introduced the Privacy Amendment (Private Sector) Act 2000 in 2001. The Conference Managers comply with such legislation which is designed to protect the right of the individual to privacy of their information. Information collected in respect of proposed participation in any aspect of the Conference will be only used for the purposes of planning and conduct of the Conference and may also be provided to the organising body or to organisers of future events. It is also usual to produce a ‘Delegate List' of attendees at the Conference and to include the individual's details in such a list. Consent for publication of the individual's info rmation may be withheld when completing the Registration Form for the Conference. Individuals are also entitled to access the info rmation held by written application to the Conference Managers.
